Terms and Cancellation Policy
Clear, plain-language terms for booking, payment, cancellations, refunds, and your rights when travelling with Archu Travels.

What these terms cover
These terms apply when you use our website, send a trip enquiry, request a quote, confirm a booking, or otherwise engage our travel-planning services. They sit alongside our Privacy Policy, our booking/payment process, and the separate terms of any hotel, transport, guide, or other supplier used in your trip.
Archu currently offers domestic trips within India only. International trips may be added in the future; see Section 16.
Our service
Archu plans, arranges, and supports your trip. We help you choose where to go and how to travel, then arrange the itinerary, accommodation, transport, permits, activities, and support described in your confirmed quote.
We act as organiser/planner for the trip as a whole. Individual services (hotels, vehicles, guides, permits, activities) may be provided by third-party suppliers, whose own conditions apply. We will tell you the supplier's relevant conditions where reasonably practicable.
Enquiry, quotation & confirmation
An enquiry does not create a booking. It lets us understand your trip idea and prepare a recommendation.
A quote is an indicative offer for the dates, itinerary, party size, and inclusions stated. A quote becomes binding only when we confirm your booking in writing (email or WhatsApp) and you accept it.
Quotes are valid for the period stated in the quote (typically 15 days). Prices may change if dates, party size, supplier costs, taxes, or availability change before confirmation.
Prices are shown in INR. A “from” or “typical range” price is a starting point for planning, not a final guaranteed figure, unless we confirm it as a binding quote.
Payment schedule
To confirm a booking, we ask for a deposit of 25% of the trip value. The balance is payable by 15 days before departure (earlier for high-season trips).

We accept payment by the methods the business actually supports, such as UPI, debit/credit card, or bank transfer, through a secure, provider-hosted payment process. We do not ask you to send card details or other sensitive data through WhatsApp or an unsecured form.
If payment is not received by the due date, we may treat the booking as cancelled in line with Section 6, or allow a grace period at our discretion. Where applicable, GST or other taxes are shown on the invoice and handled as required by law.
Cancellation & amendment by you
If you cancel or change a confirmed booking, the following charges apply based on the number of days before the trip's start date that we receive your written notice (email or WhatsApp, acknowledged by us):

Change requests (dates, party size, rooms, destinations) are handled case by case and may incur reasonable rebooking or supplier charges. If a change is not possible, we will tell you the alternative, including cancellation if you prefer.
The actual charge may differ if a supplier (hotel, transport, permit) applies its own cancellation policy. Where a supplier charge is lower, the lower amount applies to you.
Cancellation by Archu
If we cancel a confirmed trip for reasons within our control, we will offer a full refund of amounts paid or a suitable alternative trip with your consent.
If we must cancel or change a trip due to events outside our control (force majeure - see Section 12), we will help you rebook or move dates where possible. Refunds in this case depend on what our suppliers refund us, and we will pass on those amounts in line with the suppliers' terms.
Refunds
Approved refunds are processed within 7–15 working days of approval, to the original payment method where possible. Refund amounts are based on the actual charges and supplier recoveries described above, not on the full amount paid when supplier or administrative costs have already been incurred.
A refund is not automatic: cancellation must be communicated to us in writing (email info@archutravels.com or WhatsApp +91 91962 95190) and acknowledged by us.
Your responsibilities
- Accurate details: Provide correct traveller details (names, dates of birth where needed, ID/documents) in time for us to arrange permits, bookings, and tickets.
- Valid documents: Carry valid identity and any permits required for the destination (for example, Inner Line Permits for some northeastern states).
- Fitness & needs: Ensure all travellers are reasonably fit for the trip's activity level and inform us of any medical, mobility, or dietary needs we should reasonably plan for. We are a travel planner, not a medical or legal adviser.
- Insurance: Carry appropriate insurance (trip, health, travel) unless you confirm in writing that you do not want insurance. See Section 13.
Minors & children
Travelling with children
- Age limits: Children under 5 years are not recommended for high-altitude or strenuous trips (e.g., Spiti, Ladakh treks). We will advise per itinerary.
- Child pricing: Children aged 5–11 sharing a room with two adults typically pay 60–75% of the adult rate, depending on hotel policy. Exact pricing is confirmed in your quote.
- Documentation: A parent or legal guardian must sign the booking form for travellers under 18. For unaccompanied minors, a notarised consent letter from both parents is required.
Liability
We plan and arrange your trip with reasonable care and skill, and we are responsible for the trip arrangements we confirm with you.
Where a service is provided by a third-party supplier, the supplier is responsible for that service; we will help you address a supplier issue but are not liable for the supplier's own failings except where we have not taken reasonable care in arranging them.
To the extent permitted by law, our total liability for a claim under these terms is limited to the total amount you have paid us for the affected trip, except where liability cannot be excluded by law.
We are not responsible for loss or damage caused by events outside our reasonable control, or for risks you knowingly accept (for example, high-altitude treks) where we gave you the relevant information.
Force majeure
What counts as force majeure
“Force majeure” means events outside our reasonable control that could not have been avoided by reasonable precautions. For our routes, this specifically includes:
- Landslides, flash floods, or road closures on Himalayan routes (e.g., Spiti, Ladakh, Kashmir)
- Extreme weather: heavy snowfall, cyclones, or monsoon flooding affecting transport
- Government restrictions: curfews, permit suspensions, Inner Line Permit revocations
- Strikes or bandhs affecting transport, fuel supply, or hotel operations
- Pandemics, epidemics, or public health emergencies
- Civil unrest, protests, or security operations in the destination region
If force majeure affects your trip, we will use reasonable efforts to minimise impact and offer the best available alternative; refunds and costs follow Section 7 and the relevant suppliers' terms.
Travel insurance
Archu does not arrange insurance
Archu Travels does not sell, broker, or underwrite travel insurance. We strongly recommend that you purchase comprehensive travel insurance covering trip cancellation, medical emergencies, evacuation, baggage, and personal liability before departure. We can advise on suitable cover but cannot arrange it on your behalf. If you choose to travel without insurance, we will ask you to confirm that in writing.
Data protection & consent
We collect, use, and protect your personal data in line with the Digital Personal Data Protection Act, 2023 and the DPDP Rules, 2025. Please read our Privacy Policy and the notice shown when you send an enquiry.
- By submitting an enquiry you confirm the information you give is accurate and that you have authority to provide it (for example, for other travellers in your group).
- Marketing messages are sent only with separate, optional consent. You may withdraw consent at any time by contacting info@archutravels.com or +91 91962 95190.
- We will notify you and the Data Protection Board of India if a personal data breach affects your data, in line with the DPDP Rules.
Complaints & disputes
If something is wrong, please contact us immediately during the trip (WhatsApp +91 91962 95190) so we can try to fix it, and again in writing afterwards with details.
We aim to respond to complaints within 5 working days.
These terms are governed by the laws of India. Courts at Varanasi have jurisdiction over any dispute, subject to any consumer-protection rights you have.
International trips
International trips not yet covered
Archu currently operates domestic trips within India only. Separate terms for international trips (including visa, foreign currency, and cross-border supplier conditions) will be published on this page when that service launches. The current terms do not cover international travel.
Changes to these terms
We may update these terms when our services or legal obligations change. The current version will always be available on this page with its “last reviewed” date.
